Please read these Terms and Conditions carefully before using the services of Farline Travel (“we,” “us,” or “our”), a travel agency operating as a sole proprietorship DBA registered in the State of New York. By requesting a quote, making a booking, or engaging our services in any way, you (“Client,” “traveler,” or “you”) agree to be bound by these Terms in their entirety.
Services We Provide
Farline Travel acts as a travel management and booking intermediary. We coordinate, plan, and book travel arrangements on behalf of our clients through third-party suppliers, including airlines, hotels, ground transportation providers, and insurance carriers. We do not own, operate, or directly control any of the suppliers whose products and services we arrange.
Our services include, but are not limited to:
- Flights — Domestic and international flight bookings through our accredited airline consolidators and direct airline portals.
- Hotels & Accommodations — Hotel reservations ranging from economy to luxury properties, booked through our supplier network.
- Charter Buses — Group ground transportation via chartered coach and bus services for events, tours, and institutional travel.
- Airport Transfers — Scheduled pickup and drop-off services between airports and hotels or designated locations.
- Car Rentals — Vehicle rental bookings coordinated through third-party rental companies at domestic and international locations.
- Travel Insurance — Travel protection plans offered through our licensed insurance affiliate partners, provided as a separate product.
We also provide complimentary itinerary management — coordinating the logistics of your confirmed bookings from planning through completion — at no additional charge.
Our Role as an Intermediary
Farline Travel acts solely as an agent on your behalf when booking with third-party suppliers. We do not act as a principal, co-venturer, or guarantor of any supplier’s services. All bookings made through us are subject to the individual terms and conditions of the applicable supplier (airline, hotel, car rental company, charter bus operator, or insurance provider), and we strongly encourage you to review those terms before confirming your booking.
We are not responsible for the acts, omissions, failures, negligence, or misconduct of any supplier, nor for any loss, damage, injury, or inconvenience that arises from their services or failure to provide services.
Booking Process & Confirmation
A booking is considered confirmed only when:
- You have received a written confirmation from Farline Travel (via email or document),
- Full payment or a required deposit has been received and cleared, and
- The relevant supplier has issued a valid booking reference or confirmation number.
Until all three conditions are met, no booking is guaranteed. Prices quoted at any stage prior to confirmation are subject to change based on supplier availability and currency fluctuations.
It is your responsibility to review all booking confirmations promptly and notify us within 24 hours of any errors, discrepancies, or missing information. We cannot accept liability for errors that are not reported within this window.
Pricing & Payment
All prices quoted are in US Dollars (USD) unless otherwise stated. Prices are subject to availability and may change without prior notice until a booking is confirmed and payment is received.
Quoted prices may include:
- Supplier base fares and rates
- Applicable taxes, airport fees, and fuel surcharges
- Farline Travel service fees, where applicable
Quoted prices do not automatically include:
- Travel insurance (quoted and billed separately)
- Checked baggage fees or seat selection fees charged by airlines
- Gratuities, personal expenses, visa fees, or passport fees
- Any costs resulting from changes or cancellations after confirmation
Payment instructions will be provided in your invoice. Farline Travel accepts payment via methods specified at the time of booking. We reserve the right to cancel an unconfirmed booking if payment is not received by the deadline specified in your invoice.
Security note: Farline Travel will never request payment via wire transfer to an unfamiliar account, gift cards, or cryptocurrency. If you receive such a request purportedly from us, please contact us immediately at rahman@farlinetravel.com or (607) 323-7090.
Cancellations & Refunds
Cancellation policies vary significantly by supplier and product type. The following general terms apply:
Flights
Airline cancellation and refund policies are set entirely by the operating carrier and fare class purchased. Non-refundable tickets (the most common class) will result in no cash refund, though some carriers may issue travel credit. Change fees may apply. We will communicate the applicable airline policy before your booking is confirmed.
Hotels
Hotel cancellation policies vary by property and rate type. Prepaid or non-refundable rates carry no refund upon cancellation. Flexible rates may permit cancellations up to a specified number of hours or days before check-in without penalty. The applicable policy will be disclosed in your booking documentation.
Charter Buses
Charter bus cancellations are subject to the operator’s policy. Deposits are generally non-refundable. Cancellations made fewer than 30 days before the departure date may result in charges of up to 100% of the total booking cost.
Airport Transfers & Car Rentals
Cancellations must be submitted in writing to Farline Travel. Refund eligibility depends on the individual supplier’s terms, which will be provided at time of booking. Late cancellations (fewer than 48 hours before scheduled pickup) may result in full forfeiture of the booking amount.
Travel Insurance
Travel insurance policies have a look-back period (typically 10–15 days from the date of purchase) during which cancellation for a full refund is possible. After this period, premiums are generally non-refundable. Coverage terms are governed entirely by the issuing insurance provider.
Farline Travel Service Fees
Any service fees paid to Farline Travel for planning, consulting, or itinerary management are non-refundable once work has commenced, regardless of whether the underlying booking is refunded by the supplier.
We strongly recommend purchasing travel insurance at the time of booking to protect against unexpected cancellations, illness, or disruptions. A policy that includes “Cancel for Any Reason” (CFAR) coverage provides the broadest protection.
Changes & Modifications
All requests to modify a confirmed booking must be submitted to Farline Travel in writing. We will attempt to accommodate changes subject to supplier availability, but we cannot guarantee that any modification can be made. Changes may incur fees charged by the supplier (e.g., airline change fees, hotel re-booking fees) in addition to any applicable Farline Travel service fee for processing the change.
Farline Travel reserves the right to modify or substitute any component of a booking if circumstances require it (such as supplier failure or force majeure). Where a substitution of materially lower value is made and the supplier does not offer compensation, we will work to either provide a comparable alternative or obtain a credit where possible.
Traveler Responsibilities
You are solely responsible for the following:
- Travel documents: Ensuring all travelers hold valid passports, visas, entry permits, and any required health documentation for all countries on the itinerary. Farline Travel does not apply for visas on your behalf and accepts no liability for denied entry or boarding due to documentation issues.
- Health & vaccinations: Consulting a physician or travel health clinic regarding recommended or required vaccinations and health precautions for your destination(s).
- Accuracy of information: Providing complete and accurate traveler information (full legal name as it appears on passport, date of birth, contact details) at the time of booking. Errors in traveler information that result in denied boarding, rebooking fees, or other costs are your responsibility.
- Check-in & arrival times: Arriving at airports, hotels, and pick-up points at the times specified in your itinerary. Farline Travel is not responsible for missed connections or services resulting from late arrival.
- Conduct: Behaving in a manner consistent with local laws and the policies of all suppliers. We reserve the right to terminate services without refund if a client’s conduct endangers themselves, other travelers, or supplier staff.
Limitation of Liability
Farline Travel’s maximum liability to any client, for any claim arising out of or in connection with our services, shall not exceed the total fees paid by the client to Farline Travel (excluding amounts paid directly to or on behalf of third-party suppliers) for the specific booking in question.
We are not liable for:
- Personal injury, death, property damage, or loss caused by any supplier
- Delays, cancellations, or schedule changes by airlines, hotels, or other transportation providers
- Acts of government, customs authorities, or immigration officials
- Lost, stolen, or damaged luggage or personal property
- Any indirect, consequential, or incidental losses
- Events beyond our reasonable control (see Force Majeure section below)
Nothing in these Terms limits liability for death or personal injury caused by Farline Travel’s own negligence, or for fraudulent misrepresentation.
Travel Insurance
Farline Travel offers travel insurance products through licensed third-party insurance providers as part of our booking process. We are not the insurer and do not underwrite any insurance policy. All claims, coverage questions, and policy disputes are handled directly between you and the insurance provider.
While we present insurance options and explain coverage in plain terms, we are not licensed insurance brokers or advisors. We encourage you to read all policy documentation thoroughly before purchase. Declining travel insurance at the time of booking does not reduce your financial exposure to cancellation penalties, medical costs abroad, or other travel risks.
If you already hold travel insurance through an employer, credit card, or other source, we are happy to help you understand what coverage may apply, but we cannot make coverage determinations on behalf of any external insurer.
Force Majeure
Neither Farline Travel nor any of its supplier partners shall be liable for failure or delay in performance caused by events beyond reasonable control, including but not limited to: acts of God; natural disasters; pandemics or public health emergencies; war, terrorism, or civil unrest; government travel restrictions or advisories; airline groundings; labor strikes; or infrastructure failures.
In such events, we will work diligently to secure refunds, credits, or rebooking options on your behalf, but we cannot guarantee any specific outcome given that supplier policies govern those decisions.
A travel insurance policy with trip interruption and force majeure coverage is your most reliable protection in scenarios like these. We can help you find the right plan at the time of booking.
Privacy & Data
Farline Travel collects personal information (including name, contact details, passport data, and payment information) solely for the purpose of processing and managing your booking. We do not sell or rent your personal data to third parties for marketing purposes.
We share traveler information with suppliers (airlines, hotels, ground operators, insurers) only to the extent necessary to fulfill your booking. By engaging our services, you consent to this limited disclosure. For full details on how we handle your data, please review our Privacy Policy.
Governing Law & Disputes
These Terms and Conditions are governed by and construed in accordance with the laws of the State of New York, United States, without regard to conflict of law principles.
Any dispute arising from or relating to these Terms or the services provided by Farline Travel shall first be addressed through good-faith negotiation. If a resolution cannot be reached, disputes shall be submitted to binding arbitration in Broome County, New York, in accordance with the applicable rules of the American Arbitration Association, unless both parties agree otherwise in writing.
These Terms comply with applicable provisions of the New York General Business Law Article 10-A (the Truth in Travel Act), which governs the conduct of travel agencies operating in New York State.
Changes to These Terms
Farline Travel reserves the right to update or modify these Terms and Conditions at any time without prior notice. The version published on our website at farlinetravel.com/terms-and-conditions is the current and controlling version. Continued use of our services following any update constitutes your acceptance of the revised Terms.
